This Privacy Policy explains how On5 Solutions collects, uses, stores, and protects information when you use the nWorks mobile application and related workforce operations platform.

1. Who we are

nWorks is a workforce operations software product provided by On5 Solutions Pty Ltd, an Australian technology company based in Melbourne, Victoria.

In this Privacy Policy, “On5”, “we”, “us”, or “our” means On5 Solutions Pty Ltd. “nWorks”, “the app”, or “the platform” means the nWorks mobile application, web portal, APIs, and related services. “Customer” means the business, employer, contractor, or organisation that has arranged access to nWorks. “User” means a person who uses nWorks, including staff, subcontractors, supervisors, administrators, and customer portal users.

2. Scope of this policy

This Privacy Policy applies to personal information collected through the nWorks mobile app, the nWorks web platform, and related support services.

nWorks is generally used in a business or employment context. In many cases, the Customer controls the information entered into nWorks and decides how it is used for workforce operations. On5 provides the platform and processes information to deliver, secure, maintain, and support the service.

3. Information we collect

Depending on how your organisation configures and uses nWorks, we may collect or process the following types of information:

  • Account and identity information: name, email address, phone number, employee or contractor identifiers, role, permissions, company, customer, and site access.
  • Workforce and operational records: shifts, rosters, attendance, check-in and check-out records, timesheets, payroll preparation records, site activity, patrols, checkpoint activity, and job/task records.
  • Forms and compliance records: form responses, audits, inspection records, incident reports, declarations, signatures, notes, comments, and uploaded evidence.
  • Files and media: photos, documents, attachments, signatures, and other files you upload or capture through the app.
  • Location information: location data used for attendance, site verification, patrol, checkpoint, and proof-of-work workflows where enabled by your organisation and permitted by your device settings.
  • Device and technical information: device type, operating system, app version, device identifiers, push notification tokens, IP address, logs, diagnostics, crash reports, and security events.
  • Support information: messages, screenshots, issue details, and other information you or your organisation provide when requesting support.

4. Location data

nWorks may use location data to support workforce operations such as mobile check-in, check-out, site attendance, patrol activity, checkpoint verification, incident reporting, and proof-of-work records.

Location data is collected only where the feature is enabled, your organisation uses location-based workflows, and your device permissions allow it. The app may request location access while the app is in use. nWorks does not collect background location when the app is closed or not in use. You can manage location permissions in your device settings, but disabling location access may prevent some nWorks features from working correctly.

5. How we use information

We use information to:

  • provide, operate, and improve the nWorks platform;
  • authenticate users and manage access permissions;
  • support shift scheduling, attendance, site activity, forms, audits, compliance, timesheets, and payroll workflows;
  • send service notifications, reminders, alerts, and push notifications;
  • provide customer support, troubleshoot issues, and maintain service reliability;
  • protect the security, integrity, and availability of the platform;
  • meet legal, regulatory, contractual, audit, and compliance obligations; and
  • generate reporting and operational insights for Customers, where permitted.

7. When information is shared

We may share information:

  • with the Customer that provides or manages your nWorks account;
  • with authorised users in your organisation, based on their roles and permissions;
  • with service providers that help us host, secure, monitor, support, and deliver nWorks;
  • where required by law, court order, regulator, or government authority;
  • to protect rights, safety, security, and platform integrity; and
  • as part of a business transfer, merger, restructure, or sale, subject to appropriate confidentiality obligations.

We do not sell personal information to advertisers.

8. Third-party services

nWorks may use trusted third-party services for hosting, storage, analytics, diagnostics, maps, push notifications, communications, support, security monitoring, and payment or business systems integrations. These providers are only given access to information needed to perform their services and are expected to protect that information.

9. Security and retention

We use administrative, technical, and organisational safeguards designed to protect information against unauthorised access, misuse, loss, interference, disclosure, or alteration. These safeguards may include access controls, encryption, monitoring, backups, secure development practices, logging, and role-based permissions.

We retain information for as long as needed to provide nWorks, comply with legal and contractual obligations, resolve disputes, maintain audit records, and support Customer requirements. Retention periods may vary depending on the type of record, Customer configuration, and applicable legal obligations.

10. Data storage and overseas disclosure

nWorks is designed for Australian businesses and may use Australian data storage where available. Some service providers or support systems may process limited information outside Australia. Where this occurs, we take reasonable steps to protect personal information in accordance with applicable privacy laws and contractual obligations.

11. Access, correction, and deletion requests

You may request access to, correction of, or deletion of personal information held about you, subject to legal, contractual, operational, and security limitations.

If your nWorks account is managed by your employer or another organisation, we may need to direct your request to that organisation because it controls the relevant workforce records. To request access, correction, or deletion, contact your organisation first or contact us using the details below.

12. Children

nWorks is intended for use by businesses and authorised workforce users. It is not directed to children and should not be used by anyone under the minimum working age or without appropriate authorisation from the relevant organisation.

13. Changes to this policy

We may update this Privacy Policy from time to time. The updated version will be published on this page with a revised “Last updated” date. Continued use of nWorks after an update means the updated policy applies from the effective date shown.
